Accessing Voicemail from your desk phone

If using your desk phone, press the RETRIEVE  button, located in the middle right of the phone. You will be connected directly to your voicemail and do not need your PIN (Personal Identification Number).

Accessing Voicemail externally

If calling from outside the City, or if you are a user with voicemail only and no phone, please dial into the voicemail system at 760-839-4399. The system will prompt you for your extension, then your PIN (Personal Identification Number). Your PIN can be found in the Welcome Letter from 3cxc Communications System. If you did not get a Welcome Letter, please contact the Help Desk at x4357. 

 

Setting up Voicemail

Once you have dialed in, the system will announce the prompts needed to manage all voicemail services. On initial Set-Up, it is mandatory to record your name and personal greeting and change your PIN.
Here are the shortcuts for the prompts you will need to complete Set Up. Once you have dialed the appropriate option, the system will provide you with prompts to complete each task.

  • To change the pin code, press 7. NOTE: use a minimum of 5 digits
  • Record name (Self-Identification) message, press 5. NOTE: This is required for the dial by name directory
  • Record voicemail greeting, press 8. Use the following template per City standards.

“You have reached (Your Name) with the City of Escondido’s (Your Department or Division). Please leave your name, your number, and a brief description of why you are calling and I will return your call as soon as possible. Thank you.”

PLEASE DO NOT OFFER AN OPERATOR TRANSFER IN YOUR GREETING. 3CX DOES NOT HAVE THE ABILITY TO TRANSFER FROM A PERSONAL MAILBOX! If you need to refer a caller to someone or somewhere else, such as a mainline, menu line, or assistant, please add the calling information in your greeting. For Example, "If you need to reach our main number, please call 760-839-4357." 

 
NOTE: If callers are routed to your extension from a department menu, please be sure to acknowledge this in your personal greeting. For example, a caller selects an option for Registration Information, and they then transfer to your extension, here is an example of what should be on your greeting: 

“You have reached (Your Name) with the City of Escondido’s (Your Department or Division). Please leave your name, number and a brief description of why are calling. If you're calling about Registration Information, please specify what you need and I will respond as soon as possible. Thank you.
